ORDERING, PAYMENT & DELIVERY

• HOW & WHEN TO PAY
  The full amount for Filming, Editing & Production (as detailed in the Price List) must either be paid in cash or by cheque to the cameraman on the day unless he is one of our freelance operators, in which case your payment must be sent to our office as soon as possible after the match. Cheques must be made payable to 'Hughes Video Services'.
  Please note that we will only allow the Filming, Editing & Production payment to be made on delivery of the finished product if you are a regular customer who has never let us down in the past, but the payment must then be made in cash only. This is also dependent on whether we can do a personal delivery.
   

• FAILING TO PAY
  We will not start editing & producing the footage until we have received your payment, so if you do not pay the full amount on the day of the match (or as soon as possible afterwards), then you may have to wait longer before receiving your finished copies as other matches will be edited first. Also, under no circumstances will clubs be given the goods with a '30 days to pay' invoice.
  Thankfully, out of approximately 50 Cup Finals or other matches we cover each season (involving approximately 100 different teams), only an average of two or three teams out of those 100 fail to pay. In most cases that is because their opponents initially booked us to film the match, then the offending team decided before the kick-off to share the costs but went on to lose the game and subsequently changed their minds. We therefore refuse to film any future matches for teams who initially agreed to pay but then changed their minds, unless they are prepared to pay what they owe us beforehand.
   

• ALTERATION OF PRICING STRUCTURE ON THE DAY OF THE MATCH
  Quite often, filming of a match will be booked by one team (who then pay £140.00 on the day), only for their opponents to suddenly decide that they want copies as well (normally on the final whistle after they have just won !). When this occurs, we will give the team who have booked us a £45.00 refund and advise their opponents that they have to pay £95.00 to share the filming, editing & production costs before they can obtain copies.
  The same procedure also applies when referees book us for filming and then one or both of the participating teams decide they want copies (or vice-versa). The table of prices covers all the eventualities.
   

• DELIVERY ARRANGEMENTS
  During the Cup Final season (March, April & May) it can take anything between one week and two months for us to edit & produce your DVD's/videos before they are ready for delivery, simply because we cover so many matches in a short space of time. At other times of the year, Match DVD's/videos are generally available within a week to 10 days.
  If clubs are 'desperate' to see their Cup Final DVD within a week of the match being played, but we do not have time to edit & produce the footage until several weeks later, we can give them an alternative arrangement whereby they can receive one copy on DVD totally unedited and in a blank box instead, but they will still have to pay £140.00. This will mean they can do the editing themselves, design the insert themselves, and run off their own copies. However, once they have agreed to that, we will not be prepared to edit the footage ourselves at a later date. If the club do not edit the footage themselves, there will be no titles, slow-motion replays, transition effects or a printed colour insert, while there may be wobbly bits of camerawork left in while the ball is out of play. Clubs who are prepared to wait for us to edit & produce DVD's properly will receive a much nicer finished product.
  We will contact you by phone or e-mail as soon as your match has been edited & produced and copies are ready for delivery.
  We will then make arrangements to either personally deliver all copies to your home address or your club, or to deliver them via a courier service, which is normally Royal Mail Recorded Delivery or Special Delivery. Since the advent of DVD's we now favour the latter option as it saves time and the postage rates are much cheaper than they are for (substantially heavier) videos.
  We have also had problems in recent seasons with personal deliveries where we have driven to destinations 'miles' away to deliver copies only to find nobody answering the door because they had 'forgotten' we were coming. This is why payment in advance of delivery is the best option as it will result in you receiving your goods a lot more quickly.
  An Invoice/Receipt will be included with all deliveries and this will confirm your payment.
  Please note that we try to avoid situations where customers visit our office to pay for and collect their DVD's/videos. We do not have a shop and our office is in a small residential road with very little parking space.
   

• HOW TO ORDER AND PAY FOR EXTRA COPIES
  All players/club members/parents are advised that the normal course of events after a Cup Final is for their Club Secretary or Team Manager (or whoever booked us to film the match) to collect in their money for extra copies of the DVD (or video) to be ordered. That person then either pays us for the extra copies on the day of the match or posts a cheque to our office once they have taken your orders and collected in your money.
  We then deliver all copies to just the one address rather than getting every player/club member/parent to order copies from us individually.
  The idea is for the club to receive the copies from us at Bulk Order (discounted) prices, then charge their players/club members/parents the normal full prices (or more) to recoup the filming, editing & production fees they have spent. They can also raise money for the club depending how much players/club members/parents are charged for their copies.
  Ordering instructions for extra copies are therefore as follows:
  For Bulk Orders (Minimum of 5 copies)
  Send a cheque (made payable to 'Hughes Video Services') to our office for the correct amount (£8.50 per copy with postage & packing free of charge), then we will deliver using the method(s) described above. 
  Please make sure you supply your name, address and contact numbers/e-mail address, together with the quantity and title of the match DVD/video you are are ordering.   If a bulk order of extra copies is placed before the delivery of your initial six copies is made, then we can deliver all the copies together and that will make things a lot easier for us. However, bulk orders for 5 copies or more can still be placed at any time in the future for the price of £8.50 per copy to apply.
  For orders of less than 5 extra copies
  If you require less than 5 extra copies, you will still only pay £8.50 per copy if they are ordered as soon as possible after the match with a view to them being delivered at the same time as your initial six 'free' copies.
  However, subsequent orders of less than 5 copies will be charged at £12.50 per copy including postage & packing/delivery charges.
  For Individual Orders (to various different addresses)
  Send a cheque or Postal Orders (made payable to 'Hughes Video Services') to our office for £12.50 per copy including postage & packing.   Individual Orders for Match DVD's/videos (including Cup Finals) can only be made once the Filming, Editing & Production has been paid for by the participating club(s). Once those costs have been paid and the match has been edited & produced, it will then be given a Catalogue Number and listed on this website under the appropriate category. This will then give you the go-ahead to place Individual Orders.
  Please note that with Youth Match DVD's/videos, because of Child Protection concerns, we may be unable to sell copies of certain matches to individuals who are not members of the clubs involved.
   

• FAULTY COPIES
  All copies of our DVD's & videos are checked for faults before they are delivered, but if any faulty copies do 'slip through the net', we will send you a replacement copy if you return your faulty copy to our office.
  We are pleased to say that since we started producing DVD's in 2003, faulty copies have been extremely rare. In most cases, whenever a DVD has not played back properly, it has been due to the actual player, and when the disc has been put in another machine it has worked perfectly. We use DVD-R discs, but there are some very old DVD players about which do not play back that format and only take DVD+R discs instead. • ONLINE PAYMENTS BY CREDIT or DEBIT CARD
  At the moment, we do not have facilities in place where we can accept Credit or Debit Card payments over the phone, by mail order or online through this website, although this is something we are currently looking into, both for the ordering of DVD's & videos from our back-catalogues and also for payment of Filming, Editing & Production charges.
  It is more likely that these facilities will be in place sometime during the 2007-2008 Season.
